Information we use
If you email us, we receive the contact details, vehicle requirements and other information you choose to include. Website delivery and security systems also process technical information such as IP addresses, requested pages, timestamps, browser details and error information.
The enquiry form
When you submit the contact form, our separate website service processes your name, email address, topic, vehicle count and message and sends them to our team through Gmail over an encrypted connection. It does not add you to a mailing list or create a tracking account. Enquiry bodies are processed for sending and are not saved in a website database. Please do not include passwords or detailed tracking records.
Why we process information
We use enquiry information to respond to you and, where requested, take steps towards supplying a service. We rely on taking steps at your request before entering a contract where applicable, and our legitimate interests in responding to enquiries, supporting customers and maintaining a secure website. We do not use the enquiry form to sign you up for marketing.
Hosting and service providers
The website is hosted on our cloud infrastructure. Cloudflare provides DNS, website delivery and security services. Our email and infrastructure providers process information as needed to deliver their services. Providers may process information outside the UK under their applicable data protection arrangements. How long we keep information
We keep enquiry correspondence for the time needed to deal with your request and relevant follow-up. Where an enquiry leads to a service, records may be retained for that relationship and any applicable accounting, legal or dispute requirements. Website server logs rotate daily, with up to 14 archived daily logs retained alongside the current log. The form keeps a random request reference, a keyed hash of the visitor IP address, a timestamp and send status to limit spam and prevent duplicate emails. It does not store the message body in these records. Records older than 48 hours are removed as new requests are processed. Security events, provider records and backups may follow separate retention arrangements.
Your choices and rights
You can contact us to request access, correction or deletion and, where applicable, restriction, portability or objection to processing based on legitimate interests. These rights depend on the circumstances. We may need to verify your identity. You can raise a concern with the Information Commissioner’s Office.
